Safety
We take your safety and privacy seriously. This page outlines the key practices, reminders, and safeguards our team follows to protect client information and ensure secure communication across all of our systems at Zephyr Health.
At Zephyr Health, protecting client information is a core part of our mission. Our team is trained to handle sensitive data with care, and maintaining strong online safety practices is essential as we continue to communicate through email, digital tools, and client-facing systems. This guide outlines important safety reminders to help staff stay aware of potential risks, reduce the chance of unauthorized access, and safeguard the trust our clients place in us.
Email remains one of the most common places where security risks show up. Staff should be cautious of any unexpected messages, especially those coming from outside Zephyr Health. Always double-check the sender’s email address, watch for unusual requests, and avoid clicking links or downloading attachments from unknown sources. If a message looks off in any way, report it right away so we can review it before any action is taken.
To support safer communication, we have implemented an automatic banner that appears on emails sent from outside the organization. This banner is simply a visual reminder to take an extra moment to confirm the sender before responding or interacting with the message. Internal emails sent between Zephyr staff will not include this banner. This update does not block messages or limit communication in any way. It is only meant to help everyone stay aware while navigating email each day.
Beyond email, all staff should continue practicing strong online habits to protect client information and internal systems. This includes using secure passwords, avoiding public Wi-Fi for work-related tasks, and being careful when signing into accounts on shared devices. Staff should also make sure they access client information only through approved channels and avoid sharing sensitive information over unencrypted platforms.
When communicating with clients, always verify identities before discussing personal details or treatment-related information. Do not share internal documents or notes through personal email accounts or messaging apps. Use approved systems and follow the same privacy standards you would in person. If a client requests unusual information or sends a message that raises concerns, notify the appropriate supervisor so we can ensure everything is handled correctly.
Our clients trust Zephyr Health to maintain confidentiality at all times. Only access client information when you need it to perform your job duties. Do not save client data on personal devices or transfer files outside our approved systems. If you need to send documents to a client, use secure, encrypted methods provided by our team. Always double-check the recipient before sending anything, and confirm that the information you are sharing matches what was requested.
If you ever come across information that appears out of place, was sent to the wrong person, or seems inaccurate, let us know immediately. Prompt reporting helps us correct mistakes quickly and prevents information from reaching the wrong hands.
Keep all work devices updated and locked when not in use. Use a secure passcode or biometric lock on your phone, and make sure your laptop requires a password after being idle. Avoid installing software that has not been approved by our team, and never click suspicious pop-ups or download tools from unknown sources. If your device behaves unusually, alert the systems team so we can check it for issues.
When using shared office equipment, always log out of portals, email, or client systems before stepping away. Do not store passwords in your browser unless the device is managed and approved for secure storage. Strong device protection helps ensure that only authorized staff can access confidential information.
If something feels unusual, whether in an email, a client interaction, or an online system, trust your instincts and report it. Even trained professionals can encounter tricky situations, and bringing concerns forward helps us maintain a safe environment for both staff and clients. Reports can include questionable emails, strange account activity, misdirected information, or anything else that seems out of the ordinary.
The Systems Team is available to assist whenever needed. Whether you have a question, notice suspicious activity, or want help verifying a message, we are here to support you. Staying proactive and aware is the best way to protect client information and uphold Zephyr Health’s commitment to confidentiality and care.
